Run and Review a Guided Stocktake

Count physical stock for one mapped location, review all lines and apply confirmed Shopify on-hand variances through the guided stocktake session.

Updated Oct 2026

A stocktake records physical counts against the session’s fresh Shopify on-hand baseline. Those counts stay in the session and do not change inventory until an authorised user chooses Complete.

Where to start

Inventory → Stocktake all, or the client stocktake menu

Start or resume a session

  1. Open Stocktake from the client’s Inventory view and confirm the mapped warehouse location shown for the session.
  2. Start a session only when the client and location are correct. Starting syncs Shopify inventory and records the on-hand baseline for each listed line.
  3. If that client and location already have an open session, continue it instead of starting another. Pause and resume the same session if counting spans more than one shift.
  4. If the mapping or initial sync is missing or wrong, stop and ask a Warehouse Admin to resolve it before counting.

Count and submit every line

  1. Count the physical units at the mapped location and enter a whole-number quantity for every line. Use 0 when the shelf is empty; do not leave a line uncounted.
  2. Enter counts in the session table or download its CSV template and import counts into the open session. A CSV import records counts only; it does not update Shopify inventory.
  3. Review counted, uncounted, and variance totals, then submit the session to Review. If a count needs correction, resume the session, correct it, and submit again.
  4. Use the import result to identify missing or invalid rows. Correct the count file or enter the value against the matching session line; do not assume an unrecognised SKU was counted.

Complete and verify the Shopify update

  1. In Review, compare every physical count with the session line and expected quantity. Complete is available only when all lines have counts.
  2. Complete is the explicit write step. Shopify on-hand is set to the verified count for lines with a variance; unchanged lines need no quantity write.
  3. Wait for the application result and check each line. A concurrent stock change can create a conflict instead of overwriting newer data.
  4. Use Retry only for lines the application marks retryable after reconciliation. Do not start a replacement session or repeat an uncertain update to clear an error.

Questions and hand-off

If The Shopify location is missing or does not match the physical warehouse

Do not start or complete the stocktake. Ask a Warehouse Admin to correct the location mapping and start a fresh session.

If The live inventory changes while the session is open

Do not overwrite the newer movement. Follow the session result; abandon and restart with a fresh baseline when instructed.

If A line shows a conflict or an uncertain application result

Keep the original session open, read the Shopify result, and escalate unresolved lines. Retry only when the application explicitly marks them retryable.

If An Operator cannot submit or complete the session

Ask a Warehouse Admin to check the separate participation and completion permissions; never share an account.

What happens next

Return to normal inventory work only after checking each line. Hand any unresolved conflict or retryable row to a Warehouse Admin instead of changing it elsewhere.

Check your result

Every line has a verified count. Shopify on-hand reflects confirmed variances, while any conflict or retryable result remains visible for safe follow-up.

Admin details: states, evidence and hand-off

Owner: Inventory Manager. Area: Inventory. Action owner: Warehouse Admin.

What you might see

Active count

The session has a fresh on-hand baseline and records physical counts without changing inventory yet.

Next: Count every line, including a zero count for an empty shelf, then submit for review.

Review

The counts and variances are available to inspect. Review alone does not change Shopify.

Next: Check every line and use Complete only when no lines are uncounted and the counts are correct.

Applying or result available

Complete applies confirmed count variances to Shopify on-hand. The result may include applied, conflict, or retryable lines.

Next: Wait for the result, inspect each line, and use Retry only when the app marks it safe.

Completion evidence

  • Every line has a verified count and its Shopify on-hand result is applied or explicitly shown as a conflict or retryable exception.

When to ask for help

  • Record the client, session, mapped location, SKU, expected and counted quantities, application status, and visible error.
Before you start

Use a stocktake for a full physical count across one mapped location; use an on-hand adjustment for a deliberate one-off correction.

  • The client has one active Shopify location mapped to the warehouse being counted.
  • Starting a session can complete its fresh Shopify inventory sync; resume any session already open for the client and location.
  • Warehouse Operators may count only when participation is enabled; completing requires a separate permission.
