Before you begin

Apply a counted stocktake through the supported CSV workflow while preserving the import result for review.

Prerequisites

  • The Admin has the current CSV template.
  • The final counted quantities and SKU identifiers have been checked.
  • The team understands this updates local on-hand values and has no approval stage.

Stop and check

Do not use a stocktake file to change Shopify quantities or claim that an unrecognised row was applied.

Stocktakes are administered via a CSV application workflow by an Admin.

Application Process

  1. Download the stocktake CSV template.
  2. Populate the CSV with `sku`, optional `location_name`, and the final counted `quantity`.
  3. Review the file, then import it to apply the counted local on-hand quantities.
There is no approval or variance workflow in the application.

Expected Outcome

Local on-hand quantities are updated for recognised SKUs, with any unrecognised rows reported in the result.

Runbook evidence

Use these signals to decide whether the work is ready to continue, complete, or needs an owner.

State checkpoints

File prepared

The CSV contains the supported identifiers and final counted values.

Next: Review the file for typos and import it once.

Import reported

StoreFulfil has accepted some rows or returned row-level failures.

Next: Read the result and correct only the affected rows.

Applied

Recognised rows now show updated local on-hand quantities.

Next: Record the result and investigate any remaining mismatch separately.

Completion evidence

  • The import result is visible, recognised rows are updated, and rejected rows are recorded.

Escalation evidence

  • Record the file date, affected SKUs, import result, and any row-level errors.
