Before you begin

Help staff read the order state and processing owner as the source of truth for the next permitted action.

Prerequisites

  • The order detail and current assignee are visible.
  • The user knows their own role and client scope.
  • A Warehouse Admin is available for reassignment or stuck ownership.

Stop and check

Do not take over active work or ship from an old state shown by a previous view.

StoreFulfil uses the order detail to show whether work is ready, owned for processing, blocked, or awaiting shipment reconciliation. The current state, not a previous tab, controls the permitted next action.

Interpret the Visible State

  1. Ready means the displayed eligibility checks have cleared and the next task can be opened.
  2. Processing shows work is currently owned; operators should not take over someone else's active work.
  3. A blocker or Needs Attention item is a hand-off, not an instruction to keep picking.
  4. Shipment sync status confirms whether Shopify has accepted the recorded shipment.

Expected Outcome

Each order has one clear next owner and no one continues work from an outdated status.

Runbook evidence

Use these signals to decide whether the work is ready to continue, complete, or needs an owner.

State checkpoints

Ready

Eligibility checks have cleared for the next permitted action.

Next: Open and claim only the work you are authorised to process.

Processing

The order has an active processing owner.

Next: Continue the assigned work or ask an Admin to resolve ownership.

Blocked

A safety, data, payment, inventory, or shipment condition prevents progress.

Next: Read the named blocker and hand it to the right owner.

Shopify pending

The local shipment exists but Shopify acceptance is not confirmed.

Next: Use shipment reconciliation rather than creating another shipment.

Completion evidence

  • The next owner and permitted next action match the current order detail.

Escalation evidence

  • Record the order, state, assignee, blocker, and time observed.
