Use this guide when work has reached this point. If the visible state does not match, stop and follow the named hand-off.

Pack, Ship, Reconcile, and Close a Wave

A truthful closeout sequence for picked orders: pack from current lines, use the existing shipment flow, separate label printing from booking, and finish only after Shopify acceptance.

Before you begin

Finish a picked order through sequential packing, carrier selection, shipment acceptance, and wave closeout without rebooking or false completion.

Prerequisites

  • The wave reports Ready to pack or Packing.
  • The assigned order is current and its remaining quantities have been checked.
  • The parcel is physically packed and the real carrier or DHL review values are known.

Stop and check

Printing, downloading, or a delayed response must never trigger a second DHL booking or count an unaccepted shipment as complete.

One order at a time

  1. Open the next assigned order from the wave’s Ready to pack list. The order detail is the current source for lines, quantities, destination, and shipment state.
  2. Activate the order for packing through the existing ownership and processing flow. Do not take an order already owned by another worker.
  3. Pack the physical parcel and check every remaining line and quantity before opening shipment review.
  4. For a manual carrier, enter the real carrier and tracking details. For DHL, review the current parcel values, run the supported preflight, and confirm the charge-sensitive booking once.
  5. Treat booking, label archival, label download/printing, Shopify fulfilment, and wave advancement as separate results.
  6. Advance to the next wave order only after the shipment is accepted by Shopify. A local shipment or a downloaded label alone is not completion.

Printing is not booking

A failed download, blocked print window, or later print-all action must never create another DHL request. Keep the original shipment reference and use its retained label or recovery path.

Closeout states

What this is and when to use it

Use this after wave picking is complete, one order at a time, until every shipment has a confirmed Shopify result.

Pack and close each order

  1. Open the next order from Ready to pack.
  2. Check every displayed line and pack the physical parcel.
  3. Enter real carrier and tracking details, or use the Admin DHL flow.
  4. Treat shipment, label printing, and Shopify acceptance as separate results.
  5. Advance only after Shopify accepts the shipment.

Questions and hand-off

If The label will not download or print

Do not book again. Keep the original shipment and use its recovery path.

If The shipment is pending in Shopify

Leave the order in its pending state and hand over the original shipment details.

If The physical parcel does not match the order

Stop packing and reopen the current order before continuing.

What happens next

Each order is packed and reconciled once. The wave becomes complete only after every order is accepted by Shopify.

Expected Outcome

Every picked order is physically packed, recorded once, reconciled to Shopify, and advanced without duplicate DHL booking or false completion.

Wave order complete

The shipment is accepted by Shopify and the wave can advance to its next assigned order.

Next: Continue sequentially; only close the wave after all orders are complete.

Completion evidence

  • Each order has a truthful shipment, a confirmed Shopify result, and the wave reports completed only after every order is complete.

Escalation evidence

  • Record the wave/order, packed quantities, carrier or DHL reference, shipment ID, label evidence, Shopify state, and any recovery action.
